Manage Shared Templates and Themes
Organize, update, and share templates and themes so every Author starts new Editions from the same on-brand foundation.
Before you begin
- Confirm you have permission to publish shared assets. Editing a shared template or theme can affect Editions across your account (confirm the exact steps in your account).
- Decide whether you are updating a template (a reusable layout an Author starts an Edition from) or a theme (the colors, fonts, and spacing applied to that layout).
- Agree on a naming convention with your team so shared assets are easy to find — for example, prefix names by purpose or region.
- Note that changes to a shared template usually apply to new Editions only; Editions already created keep the content they were built with.
Steps
- Open the template or theme library from the content-authoring area of your account.
- Locate the asset you want to manage. Use search or Folder organization to narrow the list.
- To reorganize, move assets into the appropriate Folder (Project Folder) so the right teams can find them.
- To update, open the asset in the editor, make your changes, and save. Consider duplicating first if you want to keep the current version available.
- To share, set the asset's visibility so your team (or specific groups) can use it when starting a new Edition (confirm the exact steps in your account).
- Retire assets you no longer want used by archiving or hiding them, rather than deleting, to avoid breaking references.
Result
The updated template or theme appears in the shared library, and Authors can select it when they build a new Edition. New Editions reflect your latest branding.
