Organize Editions in Project Folders
Project Folders are how you keep your Editions organized. Use them to group work by campaign, team, region, or time period so that Authors can find the right Edition quickly and access can be scoped to the people who need it. This page covers creating, nesting, moving, and archiving Folders and the Editions inside them.
Before you begin
- You need permission to create and manage Folders. If you can't see the folder controls, ask an admin to grant you access (confirm the exact steps in your account).
- Decide on a naming convention up front (for example,
2026 - Product NewsletterorRegion / Campaign). Consistent names make large libraries easier to browse. - Know which existing Folder an Edition currently lives in before you move it, so you don't lose track of it.
Steps
- Open the content library where your Folders and Editions are listed.
- Create a Folder: choose the option to add a new Folder, give it a clear name, and save.
- Nest a Folder: create a Folder inside an existing one (or drag one Folder into another) to build a hierarchy — for example, a year Folder containing per-campaign subfolders (confirm the exact steps in your account).
- Move an Edition: select the Edition and use the move action (or drag it) to place it in the target Folder. You can usually move several Editions at once.
- Archive a Folder or Edition: when work is finished, archive it to remove it from the active list while keeping it recoverable. Avoid deleting unless you are sure it's no longer needed.
Result
The Edition or Folder appears in its new location, and archived items drop out of the active view. Anyone with access to that Folder can now find the Edition there.
