Organize and Find Media

Keep images, logos, and other assets tidy so you and other Authors can drop the right media into an Edition without hunting for it. This page covers folders, naming, search, and filters in the Media Library.

Before you begin

  • Access to the Media Library and permission to upload or move assets in your account.
  • A rough plan for how your team organizes media — for example, by campaign, brand, or asset type.
  • Know which assets are reused often (logos, footers, icons) so they are easy to find. (Confirm the exact menu location in your account.)

Steps

  1. Open the Media Library. Navigate to the media area from the main menu or from within an Edition when inserting an image.
  2. Create folders that match how you work. Group assets by campaign, brand, or type so related files stay together. Keep the structure shallow — a few clear folders beat many nested ones.
  3. Use consistent, descriptive names. Include the purpose and date or version, e.g. spring-promo-hero-2026-04. Avoid vague names like image1. Consistent names make search far more effective.
  4. Search by name or keyword. Type part of a filename or keyword into the search box to filter the library instantly.
  5. Narrow results with filters. Where available, filter by folder, file type, or upload date to zero in on the asset you need. (Confirm the available filters in your account.)
  6. Tidy up regularly. Move misplaced files into the right folder and remove outdated or duplicate assets so the library stays lean.

Assets are grouped in clear folders with searchable names, so you can locate and insert the right media into an Edition in seconds.
